Booking, Cancellation & No-Show Policy

At Organic Spa Chicago, we reserve time specifically for you and prepare our space and treatment plan in advance. To keep scheduling fair and maintain the highest level of care for every client, we kindly ask you to review and follow the policies below.

By booking an appointment, you acknowledge and agree to this Booking, Cancellation & No-Show Policy and our full Terms & Conditions.

Appointments & Booking

• A 20% deposit is required at the time of booking to secure your appointment.
• The deposit is applied toward the total cost of your scheduled service and is not an additional fee.
• The deposit is not payment in full. Any remaining balance must be paid in full by the applicable payment deadline or, unless otherwise stated, no later than the time of your appointment.
• Appointments can be booked online. Please select your service carefully and arrive on time so we can provide the full experience.
• If you are unsure which service to choose, we recommend booking a Consultation so we can guide you toward the most suitable option.
• By booking an appointment and submitting the required deposit, you agree to this policy and our Terms & Conditions.

Arrival Time

• Please arrive a few minutes early to allow time to settle in before your treatment.
• If you arrive late, your session may need to be shortened to respect the next client’s scheduled appointment.
• The full scheduled service price still applies if an appointment is shortened because of late arrival.
• If you arrive too late for the treatment to be safely or reasonably completed, the appointment may be treated as a late cancellation and the deposit may be forfeited.

Rescheduling & Cancellations

• We kindly ask that you provide at least 48 hours’ notice if you need to cancel or reschedule your appointment.
• If more than 48 hours’ notice is provided, your deposit may be transferred and applied toward a future appointment, subject to availability.
• Unless otherwise agreed by Organic Spa Chicago or required by applicable law, deposits are not automatically refunded to the original payment method when a client chooses to cancel.
• Cancellations or rescheduling requests made with less than 48 hours’ notice will result in forfeiture of the 20% deposit.
• A new deposit may be required to secure a new appointment.

No-Show Policy

• If you do not arrive for your scheduled appointment and do not notify us, the appointment will be considered a No-Show.
• No-Shows will result in forfeiture of the 20% deposit.
• A new deposit may be required before another appointment can be booked.

Same-Day Changes

• Same-day cancellations and rescheduling requests fall under the less-than-48-hours cancellation policy and will result in forfeiture of the 20% deposit.
• If a genuine emergency occurs, please contact us as soon as possible.
• Exceptions may be considered at Organic Spa Chicago’s reasonable discretion; however, cancellation fees or deposit forfeiture are not guaranteed to be waived.
• An exception made on one occasion does not change or waive this policy for future appointments.

Service Changes

• If you would like to change the type of service booked, please notify us at least 48 hours in advance so we can adjust the appointment time and treatment preparation.
• Service changes requested with less than 48 hours’ notice may not be possible due to scheduling, provider availability, treatment duration, or preparation requirements.
• If the replacement service has a different price, you will be responsible for the applicable price of the service ultimately provided.

Health, Safety & Treatment Suitability

• Please inform your provider of any relevant health conditions, sensitivities, allergies, pregnancy, medications, recent procedures, injuries, or other circumstances that could affect treatment suitability.
• Some services and add-ons have contraindications.
• If a scheduled service is not suitable on the day of your appointment, we may modify the treatment, recommend an alternative service, or reschedule the appointment when reasonably necessary for your safety and comfort.
• If a treatment cannot be safely performed, Organic Spa Chicago reserves the right to decline or postpone the service.

Payments & Deposits

• A 20% deposit is required to secure an appointment unless otherwise stated at the time of booking.
• The deposit is credited toward the total scheduled service price.
• A deposit does not constitute payment in full.
• The remaining balance must be paid in full by the deadline communicated during booking, checkout, on an invoice, in a payment request, or in your booking confirmation.
• If no earlier deadline is specified, the remaining balance is due no later than the time the service is provided.
• Failure to pay the required balance by the applicable deadline may result in cancellation of the reservation.
• Late cancellation and No-Show deposit forfeitures compensate Organic Spa Chicago for appointment time specifically reserved for the client that may not be possible to rebook on short notice.

Gift Cards, Packages & Prepaid Services

• Appointments booked using gift cards, packages, bundles, promotional credits, or prepaid services are subject to the same cancellation and No-Show policy.
• In the event of a late cancellation or No-Show, the applicable deposit, booking value, session, or credit may be deducted from the package or prepaid balance where permitted under the applicable purchase terms.
• Additional conditions may apply to specific packages, promotions, or prepaid services.

Right to Refuse or Discontinue Service

• Organic Spa Chicago reserves the right to refuse service to anyone exhibiting inappropriate, threatening, harassing, abusive, or disrespectful behavior toward staff, providers, or other clients.
• We also reserve the right to discontinue a treatment if safety, professional boundaries, or appropriate conduct are compromised.
• Where a session must be ended because of a client’s inappropriate conduct, the full scheduled service price may apply to the extent permitted by applicable law.

This policy allows us to respect the time reserved specifically for each client and continue providing the highest level of care.
